Hi, 
Is it possible to create a reminding system for FLEET (Vehicles) app (you have 1 dedicated person with responsibility for the cars) so all the cars will pass their Vehicle and Emission inspection on time/in advance ?
- every car has its own deadline, recurence every 2years
- the user can be sick, how to make sure his responsibilities will be temporarily overseen by his colleage/manager

- reminding system (notifications), DONE on task, will automatically schedule another task with same data AUTOMATICALLY. 
.... I was thinking of creating Activity-TASK, with deadline, with reminder set to 2weeks before deadline(to schedule service check before that) Done on this task will triger another IDENTICAL task with same period, same description, etc....however this is possible only in PROJECTS (recurent tasks) + task assignment is possible only on 1person, no TEAM.
....I am missing something here? Nobody is using the Fleet app, for managing their Service inspection ?

Hi,

there are a couple of ways how you can handle that.

1) The simplest (base way) can be done in a way, that you manually create the first activity (of a new type STK), which completion will trigger planning another STK activity 2 years from the deadline of the 1st STK (settings as below).

 

Based on that, you can set up automated actions, that will send emails X days before or X days after a deadline to e.g. a manager/coach of the employee, who has the vehicle assigned.

If you know 100% of your cases and you only have personal cars, it can work out of the box.

I would not recommend at all including the project flows here - it would bring unnecessary complexity, when it can be solved easier.

However, this one (IMO) is not sufficient for majority of the companies, because according to different legislations, and especially Slovak:

  • When you buy/register a new vehicle (car), you do not need to go inspection for 4 years, then you go every 2 years
  • In the case of some vehicles that can be used for business, the inspection interval is every 4 years, for other vehicles every 2 years, some other every year, and with specific cases, it can even be 6 months
  • it can happen that the vehicle is not registered for some time, and then you pass the inspection and you will register it again → it will fall out of the regular schedule...

So to cover it for all cases, it would require customizing new fields , ideally a new model inspection, that would:

  • keep track of all the successful/unsuccessful inspections (e.g. if you fail, you need to repeat it within 30 days, ...) and based on the past, it would calculate the future
  • based on different types of vehicles, it would plan the necessary periodicity of the inspections
