sorry I don't found any complete step by step guide document and odoo's guide documents are for every module separately or is very summarized and low. I'll be happy if you give some complete guide file.

1.one of our colleagues lives in another city, how can he connect to our DB and do his works with odoo? our DB is on our local network and server (with windows OS) but server and clients are connected to internet.

2.the main purpose that we want to use odoo is to be synced with together in joint projects and task sharing through our manager. I think that we need unit DB that our manager build and we all connect to that through IP (according to solution from one of forum users), is this true or we everyone must have separate local DB?

3.Can I see which of my colleagues are logged in to odoo when I logged into my odoo for example?

According to the forum guidelines please do not mix questions.

ad 1. & 2.: Odoo is a web-based application running on a (inbuilt) web server with server-based database(s). Ask your system administrator on how to deploy and connect to Odoo ("Intranet"-deployment). This is a network question and not an Odoo-related question.
