Hi all,

We are a full-service event planning company specialised in team building activities for corporate events like quiz shows, table-top escape room etc. We are now doing everything with Excel but that results in a lot of errors. For the past few days I try to figure out a workflow in Odoo that can help with this.

The main problem is we need a lot of different kind of resources to plan and produce and I would like to have on the invoice only the activity the customer books for the amount of people that are going to participate. As example I take our mobile escape room. It is played in teams of 5, so when a customer books the activity for 25 people I need to plan the following resources:

1x host (events till 50 persons will be hosted by 1 employee of us)

1x van for transportation

1x Audio visual equipment

5x mobile escape room sets (as a kind of rental)

25x player sets (consumables like notebook, pencils etc. a predefined pack per player)  

 

The solution I came up with now is not so efficient. The only flow I could think of that works for this is when the customers accept the offer and pays the invoice to create a new order with a fictive customer, like when the customer invoice is S00011, INT-S000111) with the needed player sets and the host so I could produce the sets and plan the host. And a internal rental order on the same way the reserve the resources like the play sets and AV.


As you could see the whole automation process is lost on this way, does anyone have any suggestions how I could make this easier?
