They aim to provide the best prices and solutions to their customers professionally and at acceptable prices to change the traditional way of buying online and reduce the cost price to the final customer. They have implemented Odoo, an open-source ERP system, to streamline workflows and improve business operations. In this blog post, we will discuss the various workflows implemented by Ideal Idea using Odoo and the problem-solution approach to each of them.
Inventory Management and Procurement
Prior to implementing Odoo, iDeal iDea needed help in accurately managing their inventory and procurement processes. The manual tracking of inventory levels and stock movements between their three warehouses resulted in errors, leading to stockouts or overstocking. Additionally, they had challenges tracking their landed costs and automating inventory valuation.
With Odoo, iDeal iDea could easily automate its inventory valuation and manage its inventory. They created three warehouses in Odoo, one for the central warehouse and the other for office locations. They set up all product categories for an automated inventory valuation using the AVCO costing method. They enabled the landed costs option, where some purchases will have landed costs where they need to use a different type of landed cost method (by Qty or by Volume). Odoo allowed Ideal Idea to have a clear record of purchase prices and vendor price lists, manage accurate and automated inventory valuation based on inventory transfers, and enable flexibility in payment methods.
Sales Cycle & Invoicing + Lead Management
Before implementing Odoo, iDeal iDea had a disjointed sales cycle process, leading to errors, missed deadlines, and lost sales opportunities. They needed help generating quotes, sending them to clients, converting leads into opportunities, and managing invoicing policies and approvals. Additionally, they had challenges tracking their customer's pricing levels, leading to inconsistent pricing for similar products.
Odoo streamlined the sales cycle process for iDeal iDea. They could easily generate quotes and send them to clients and convert leads into opportunities using the email alias. Odoo allowed Ideal Idea to create different price lists for their diverse customers, and invoicing policies were based on what was delivered. They also added a level of approval based on a specified limit or profit amount. Odoo was used to set up automation based on timed conditions to send emails to employees to remind them about specific criteria. Moreover, they need the standard access right available in the CRM.
Financial Duties (Invoicing & Accounting)
Ideal Idea needed help in tracking payments, payment deadlines, and amount dues, leading to delayed payments, missed deadlines, and penalties. Additionally, they needed help with reporting options and visibility on their P&L, and it was difficult to set up payment terms for vendors and customers using their previous system.
Odoo helped to solve the financial duties problems faced by Ideal Idea. They agreed on using the Continental accounting type, and they needed to post automated journals for the cost valuation of their stock. They also needed to create invoices and bills using E-Invoicing. Odoo helped to set up payment terms for vendors, set up payment terms on the customer level, activate multi-currency, configure all the bank and cash journals, and set up their outstanding accounts. They needed easy tracking of payments, payment deadlines, and amount dues. Odoo provided easy reporting options, whether on a partner (customer) level or overall company standing (P&L, Balance Sheet, Cash Flow Statement, etc.). With Odoo, iDeal iDea had visibility on their P&L, set up the needed taxes, and got standard accounting using Saudi localization offered by Odoo.
HR & Payroll
Before implementing Odoo, iDeal iDea needed help managing their employees' leave and accrual plans. They needed to track the employees' time-off allocation accurately and have a record of the accrued leaves based on the joining date. Additionally, they had challenges with posting journal entries with all the financial records.
Odoo's Standard Saudi Payroll was used to post journal entries with all the financial records, solving the problem faced by Ideal Idea. Odoo helped to set up different time-off types, accrual plans, and two layers of approval, create time-off types, accrual annual leave allocation based on the joining date, and allocation of other leave types, and set up the approval rules based on each type. The Accrual plan was used to give the employees the needed allocation, and the team could set up the accrual annual leave allocation based on the joining date. With Odoo, Ideal Idea could accurately manage their employees' leave and accrual plans, leading to better management of their human resources.
