Saleswise
The Challenge Saleswise’s rapid growth was being held back by a reliance on disconnected systems and heavy administrative overhead. Their day-to-day operations faced several major operational hurdles:
The Manual Planning Bottleneck: Resource planning for Fixed Price projects was incredibly labor-intensive. A planner had to manually calculate, schedule, and track half-day blocks per project entirely within static Excel spreadsheets.
Fragmented Data Silos: Crucial company data was scattered across Teamleader, Outlook, and Excel. Microsoft Teams was being stretched beyond its limits, incorrectly used as an ERP system for document storage and project tracking.
Commercial Risks: Sales recruiters lacked a centralized, clearly visible "Do Not Call / Do Not Recruit" list, increasing the risk of accidentally poaching candidates from active clients and damaging relationships.
Complex Hybrid Billing: The finance team struggled with administrative bloat, relying on manual Word templates for contract creation and tedious timesheet validations to juggle two distinct revenue streams (Insourcing vs. Fixed Price).
The Solution Scope To resolve these operational bottlenecks, Digifiers deployed a centralized Odoo platform specifically tailored to eliminate manual administration and unify data:
Custom "Bucket" Planning Engine: To solve the massive Excel headache, Digifiers developed a custom trigger in Odoo. The moment a fixed-price deal is marked as "won," the system automatically generates a "bucket" of all necessary half-day planning slots. These slots are then pushed to a visual drag-and-drop planning board for effortless assignment.
Unified CRM & Risk Mitigation: All client data was centralized into a single database featuring a 2-way Outlook calendar sync. Crucially, highly visible "Do Not Recruit" tags were implemented on client profiles to instantly alert recruiters and protect existing relationships.
Streamlined Hybrid Invoicing: A financial setup was configured to handle parallel billing flows: Time & Material billing (automatically generated from approved consultant timesheets) alongside milestone-based invoicing for Fixed Price projects.
The Result & Added Value By replacing a web of static spreadsheets and disconnected apps with a dynamic, unified system, Saleswise drastically improved its operational efficiency.
Scalable Operations: The automated planning board completely removed the company's biggest administrative bottleneck. Slashing planning time directly enabled the company to scale up without hiring additional administrative staff.
Error-Free Administration: Automated contract creation and hybrid invoicing flows eliminated data-entry errors and accelerated the billing cycle.
Real-Time Foresight: Management now has instant, centralized visibility into resource availability, pipeline health, and financial forecasting, eliminating the need to cross-reference multiple platforms.
