Established in June 2019, SMAVT International is a beauty and cosmetic wholesaler and retail trader with a mission to bring high-standard beauty and skincare products from niche brands to Vietnam. 

Searching for online software to manage its human resources (HR) and inventory to replace paper-based operations, SMAVT chose Odoo over Salesforce for our comprehensive business management solution that saves both budget and time. 

Managing All Departments on Spreadsheets

As a micro organization, much responsibility falls onto the shoulders of the CEO, Twiggey, which includes sales, inventory, HR, and productivity. Without effective management software, SMAVT manually directed and ran all tasks on various spreadsheets and was met with multiple pain points that required immediate solutions. 

Up to 70% error rate during sales process

Due to the utilization of spreadsheets for each of the many different pricing tables, the sales team at the beauty company frequently experienced challenges in assigning the correct product prices to sales orders (SOs), resulting in an alarming 70% error rate, which the CEO had to identify and rectify manually, one by one. 

Time-consuming HR administration

As time-consuming and inefficient as it sounds, the CEO at SMAVT had to check each team member's attendance via a fingerprint attendance system and time-off application before she could manually record the data in a spreadsheet daily to generate an attendance report for salary calculation at the end of each month.

Integrated Inventory and Sales Operations to Reduce Error Rate

With a mission to reduce error rate, the wholesaler-retailer now manages stock in its two warehouses with Odoo Inventory, where products are documented in real-time by batch, serial number, and stock count. 

Thanks to its integration with Odoo Sales and Invoicing, the sales team at SMAVT can automate the correct prices with available discounts applied by selecting the correct pricelists on SOs to avoid human error. This has been very helpful in dropping the pricing error rate to 5%. 

Odoo also empowers SMAVT's salespeople to effortlessly improve customer relationships and retention rates. Supported by Odoo CRM, the system now allows SMAVT to browse all sales history, including the products, their quantity, and any important details from the previous orders. This consequently creates sales opportunities and more business initiatives for revenue generation in the long run. 

Effortless HR Administration

With the full-featured HR suite in Odoo, attendance management and salary calculation have also become less of a chore for Twiggey. 

Team members can now check in and out from work on the Attendances app and apply for leaves on Odoo Time Off. Twiggey then receives emails when an unexpected activity occurs (e.g., employees checking in late) and when leave approval requests are needed. By the end of each month, the CEO commands the system to generate an HR report that states each employee's hours for salary calculation. Automated and integrated, this monthly task now takes only 30 minutes, with data accuracy guaranteed.
