The challenges
Alpha Motorhomes faced challenges in managing their maintenance operations, requiring a system to log and track service requests, assign technicians, and monitor parts usage. They needed seamless integration between their Field Service, Inventory, and Sales modules in Odoo. Ensuring traceability of service history linked to specific vehicles and streamlining communication with Carpass for mandatory data reporting were critical challenges.

We implemented Odoo's Field Service module, integrating it with Inventory and Sales, to streamline maintenance operations. This solution allows logging and tracking service requests, assigning tasks to technicians, and monitoring real-time parts consumption. It also ensures service history is linked to motorhome serial numbers and automates data communication with Carpass via an API.

With a focus on both B2C and B2B clients, they provide solutions ranging from water softeners to large-scale public pool projects.

The challenges

NRW’s existing workflows were manual and fragmented, with sales quotes created in Word and maintenance schedules managed in Excel. This led to inefficiencies, including time-consuming data entry and poor visibility into field operations. The company needed to centralize its processes, automate scheduling, and provide technicians with digital tools to improve productivity and service delivery.

Our solutions

Our solution for NRW involved implementing Odoo to centralize all operations. We designed quote templates to automate the creation of sales documents and a planning module to optimize technician scheduling by region. Additionally, we enabled field technicians to use tablets to update customer information directly, automating a previously manual process and improving data accuracy.

The challenges
Comoo's complex, service-based fleet management model could not be supported by standard Odoo. They lacked a structured way to manage service requests from a customer portal, track vehicle movements for services like temporary cars, and handle exceptions like no-shows. Their invoicing and contact management also required deep customization.

Curafyt faced challenges with manual overdue invoice follow-ups, leading to inefficient processes and potential bad debt. They lacked automated warnings to prevent deliveries to non-paying customers. Managing vet commissions was complex, with difficulties in linking Purchase Orders (PO) to Sales Orders (SO) for clear oversight. Additionally, while the company already managed products with expiry dates using lots and serial numbers, a recurring issue was ensuring this crucial information was correctly displayed on their website, along with the right language on invoices.

We automated overdue invoice follow-ups with email templates and implemented warning pop-ups on sales and delivery orders to prevent shipments to non-paying customers. We streamlined vet commission management by automating PO generation and improving SO-PO linkage visibility. Language logic for invoices was corrected, and product expiration dates are now displayed on their website.

The challenges
DNCS had several key challenges with Odoo. When a new ticket came in, Odoo would create a new contact if the email address didn't have an exact match, leading to a cluttered database. The company also needed a way to manage maintenance contracts for some clients, as Odoo lacked this functionality.
Our solutions
A custom app was developed to automatically detect and link a customer based on their email domain if there wasn't an exact match. This prevents the creation of new, incomplete contacts and keeps the database clean. Another app was also implemented to show support staff whether a ticket is associated with a maintenance contract, allowing for better prioritization and service.

Our solutions
To modernize and streamline operations, a suite of Odoo modules was implemented, including Sales, Purchasing, Inventory, Barcode, and Production. These solutions were designed to replace inefficient manual processes, such as Excel-based commission tracking, with an integrated system. The new setup also included integrations with Shopify and Sendcloud to support their webshop and delivery logistics.

A custom system was implemented, allowing generic, supplier-linked products to automatically trigger purchase orders when sold. A financial risk management feature was configured on the customer record to monitor credit limits. Environmental taxes like Bebat and Recupel were set up as fixed-amount taxes in the accounting module.

A key challenge was ensuring seamless synchronization of product and order data between Odoo and Shopify, especially for personalized items, to maintain accurate inventory and order status.

We implemented custom routes at the Sales Order Line level within Odoo, enabling distinct embroidery and non-embroidery flows. This allows efficient management of personalized products, diverting them through the embroidery studio when needed before rejoining the standard delivery process. This dual-route system maintains operational clarity for both standard and customized orders within a single Sales Order, enhancing control.

Additionally, errors plagued the migration process for sales receipts, leading to problems like duplicated serial numbers and transfers failing due to unreserved quantities.

Our solutions focused on a robust data migration framework and customized functional enhancements. We implemented a systematic migration process from Adsolut to Odoo, handling everything from contacts and products to complex sales receipts and invoices. We also addressed a critical issue with sales receipts by implementing a two-part migration that correctly creates either sales orders or delivery orders, depending on the Adsolut book code.

By setting the product route to "Manufacture," manufacturing orders are not created automatically upon sales order confirmation, allowing office staff to create them manually. The company also required a solution to handle large green bean shipments that are initially vendor-owned at a port location, with partial transfers to the main warehouse as needed.

This system uses reordering rules and a multi-level bill of materials to automatically trigger manufacturing orders for both roasted coffee beans and final products. By setting up different inventory locations, the system also correctly manages the logistics of vendor-owned green beans at the port and transfers them to the main warehouse only when needed.
