How to keep track of products in SO that are confirmed partialy?

How can we keep track of products that are ofered to the customer, but the SO is not fully confirmed?


Imagine a car workshop, a customer comes in with a broken car so we give them a quotation as follows (I'll ignore the money amount as it is not important for the example):

  • 10 hours
  • part A (2 uts)
  • part B (1 ut)
  • part C (2 uts)

Then the customer does accept the reparation, but does not want the part C (as it is not critical, or they might want to bring it to some other place to change that part, or they will do it themselves... whatever the case might be)

So I remove those lines from the quotation, and now whenever I want to check how many times was part C sold or quotated, it won't appear!

The same is true if I add it to optional products, whenever I confirm the quotation to a SO I'll loose this information.

Is there a standard way to achive that?

Why not change the quantity to 0 instead of removing the line?

I also thought about it, but:
1- It's dirty/confusing, then in the SO there are extra lines (not invoicable) and the customers might get confused.
2- Then I do retain the product, but not the quantities. This isn't as much of a hassle as the first point, but still...
If there is no better solution that might be the one, but I'm looking for some cleaner way.

A workaround would be to duplicate the quote, change the quantity on the original quote, adjust the difference on the duplicate and cancel it.

For instance, the initial quote is for 10 items, you create a duplicate for 10, change the original to 7, then the duplicate to 3 and cancel the duplicate. Same if you have 2 products on the original quote but only 1 on the SO.

Exactly, I would however advise on combining this approach with the CRM App. This way you can have an even better overview of the different variations quoted and what got finally confirmed as as Sale. You would just need to link all Sale Orders (cancelled quotes and final Sale to the same CRM Opportunity - or simply create the quotes directly from that Opportunity).

This seems the best approach for keeping all the information. As @Christoph Farnleitner points out combining it with CRM would be the best option for linking everything together.

Hi,

If you want to keep track of offered products, that were deleted from Sales Order, just use Automated Actions. Create an Sales Order that you'll use to track these Sales Order Lines. Create Automated Action "On Delete" that creates a new Sales Order Line in your tracking Sales Order.

Doesn't seem the best approach...
What happens if the user adds a product by error? They remove it and is added to a new SO... Not the best solution, because what happens if I want to delete it from this new SO? It creates a new new SO and it adds this line... You see the problem right? I do think that @Gabriel Gheorghiu's option is better and without creating customized actions or editing code, so it clearly is the right option.

Sure thing - everything has its pros and cons. @Gabriel Gheorghiu's is solid, I was brainstorming for having this process more automatic.
By "new new SO" I think you misunderstood. In my scenario, there would be only 1 SO for all the deleted Sales Order Lines. Of course, if product is added by mistake to clients' SO and then removed, you'd have to remember to go to tracking SO, and remove it as well. Of course you need 2 lines of code more, to prevent re-creation.
As I said - just brainstorming here. Good luck with whichever solution you take.
