I recently had a similar experience implementing a system for a document management and legal consultancy firm. We leveraged Odoo CRM modules to track leads, their status, and follow-ups by each Salesperson. For one-time services, we invoiced customers directly, while for corporate clients, we relied on quotations and invoices. 

Documents were attached to relevant activities with expiry notifications. Projects and tasks were used to manage and monitor the progress of each file across different departments. Gantt charts helped us visualize the scheduling and planning for each task. Odoo proved to be a very user-friendly solution for meeting our requirements.
