Everyone has noticed a colorfully wrapped car, a creative window print display, or eye-catching signage outside of a storefront. These graphics are often large-scale and intricately designed, making the printing process of these end products more complicated than the standard job. Companies such as American Print Consultants were founded to sell and service machines specifically to print these specialty products.
American Print Consultants, based in Chambersburg, Pennsylvania, sells and services large format printers. Founded in 2010 by Rob Almstrom, the company built a loyal customer base due to its high-quality products and services. With increased demand, Rob knew he needed additional partners, and in 2015, brought two friends into the business alongside him - Brian Hendricks, and Dave Mee. Today, Rob and Dave remain with the company as CEO and Marketing Director, respectively, with John Coughling as their third partner and CFO.

Today, American Print Consultants proudly serves the Northeastern part of the United States. With increasing success, the company needed business software to integrate and streamline its operations. Odoo, it turns out, was the right choice.
Jammed operations: How disconnected systems stalled growth

Prior to using Odoo, American Print Consultants was using Cin7 Core for inventory management and invoicing, Xero for accounting, ServiceM8 for field service, and Xfinity Comcast for their phones. It comes as no surprise that the high number of software that the company was using to manage business operations led to inconsistencies and inefficiencies.
Jen Mickey, ERP Administrator at American Print Consultants, explains that having a multitude of platforms that didn’t communicate with each other was a major pain point, especially when it came to two crucial software: Cin7 Core for invoicing and Xero for money collection:
“Those 2 pieces of software– they talked one way but not the back way. So if something got changed, then you were chasing your tail trying to figure out, ‘Okay, where did this payment get removed from? Should it have been there, or shouldn’t it have been there?’ Just a lot of chaos with making collections and receivables difficult and staying on top of those kinds of things.”

She goes on to explain that, in general, this mishmash of systems made it difficult for management to have an overview of business operations in one centralized place. Getting insight into information as simple but important as sales and accounting proved cumbersome and almost impossible.
Jen says that in addition to a lack of communication between platforms, the necessity of manual work was probably American Print Consultants’ biggest pain point prior to using Odoo. When reflecting on this old suite of systems, Jen sums it up in one sentence:
“We weren’t really able to grow using them.”

The company began exploring alternative business software options, focusing primarily on an ERP that could be a one-stop shop for all of their needs. Odoo ended up being the best choice at an affordable price point:

Jen says that their implementation process went “really well,” moving their data over and setting up their operations within Odoo easily. Jen attributes this success to the team involved in the transition, both on Odoo’s end and internally within American Print Consultants. On October 1, 2024, the company went live with Odoo and hasn’t looked back since.
“We’ve been able to get rid of all of that other software and bring everything into Odoo and manage everything through one software instead of having six or seven different pieces of software that didn’t talk to each other and required a lot of manual work to get all the information together.”

Printing perfection: How Odoo streamlined the workflow and boosted efficiency

American Print Consultants has already experienced tangible benefits from its four-month use of Odoo when it comes to the company’s day-to-day operations. Jen says that Helpdesk has been a tremendously useful tool for them, especially with how it connects other related tasks to the ticket. She notes that they use Helpdesk tickets for multiple different things and have the module set up so that tickets created in a specific area get sent directly to that department.
“[Odoo] ties the original Helpdesk ticket that comes in with the parts [the customer] orders, with the purchases, with the drop-shipments, with the field service ticket. So everything is just all tied into one. You can look at one piece of software and see where everything is that happened with it and what that timeline looks like.”

Related to the benefit of Helpdesk has been the easy integration of the company’s phone system into Odoo. Having these related workflows reflected within Odoo’s database decreases the amount of time wasted on employees manually inputting help tickets based on calls with customers:
“Integrating our phone into the software has been a huge help as well. With the integration of AirCall, we’ve been able to take phone calls and create Helpdesk tickets right from those calls without doing a lot of additional work because it automatically logs them as a Helpdesk ticket.”

Servicing large format printers is a substantial aspect of American Print Consultants’ business. Before Odoo, it was difficult to track what types of service or repairs had been done on specific machines. With Odoo, this information is a lot clearer and more accessible:

“We’ve got better visualization now on any particular piece of machinery. We can see a history of it, what’s been done, what hasn’t been done with it. So that’s been a huge help.”

One area that Odoo has tangibly helped American Print Consultants save time is their accounting process. Jen explains that with their old system, doing accounts receivable and payable was a manual process, and would essentially take up an employee’s entire day. They would have to invoice customers, review orders, make sure those orders had everything they needed on them to be able to be processed, call and collect payments, and then hop out of the system to collect payment from an external source. Now with Odoo, Jen says, they can go into Accounting and simply bulk process those tasks, easily seeing what’s ready to be invoices and what still has backorders on it.
“It’s cut that time down to a fourth of the amount of time. If we were spending four hours on that before, now we’re spending an hour on it. So that’s been a huge time saver and freed up our staff to start working on other things– making calls and getting new business in. So we’ve been able to refocus and reallocate some of that time to make that happen.”

In general, Odoo’s overall integration has made operations substantially more efficient and intuitive for American Print Consultants and its employees. Compared to its old system, which included four to five different software programs, Odoo brings all of these previously disconnected workflows into one easy-to-use interface.
“[Odoo has] definitely made things easier because now everything is under one umbrella. When we place an order for parts for, let’s say, a service call, for instance, before we’d have two to three different systems we’d have to check in– were they ordered, did it get scheduled? And we’re jumping back and forth through software. And now we can just log in to a particular customer and we can see everything that’s going on with it.”
