Building on Success: How WOLFCO Nailed Material Management with Odoo

In construction, contractors meticulously plan the building materials needed for any project. But even with the best planning, companies, on average, have about a 10% material excess per project. In addition to simply being wasteful, these companies lose out on profit due to this significant percentage of unused materials. WOLFCO Systems, a company based in the Forth Worth, Texas, area, has a mission to tackle this issue at its source. 

Founded in November 2023 by father and son team Bill and Sam Smiley, WOLFCO Systems works with general contractors and sub-contractors to provide them with project and material logistics. The company receives materials from job sites, organizes and stores them at their facility, and then delivers them back to job sites on an as-needed basis. This system eliminates the threat of theft, damage, and loss of building materials during every project phase. The company’s ultimate goal is to help contractors re-utilize the materials they have already purchased for the project by providing easy storage and transport options. 

As a very new business, WOLFCO knew it needed the right business management software to give its company a strong foundation right from the start. Odoo just so happened to be the perfect solution.

As a very young company, WOLFCO didn’t use any business management software prior to implementing Odoo. However, WOLFCO co-founder and Partner Bill Smiley says that in his previous position as a contractor, he had experience using SAGE for day-to-day business tasks such as accounting, estimating, and general project management. Odoo, he says, reminded him a lot of SAGE, which was a huge green flag. Like SAGE, Odoo seemed very robust and all-inclusive of the various features and capabilities he was looking for in an ERP.

The primary functionality that Bill needed and was looking for in a new software system was high-quality inventory management. With the company’s entire business being based on storing, organizing, and keeping track of products and materials, this capability was critical to WOLFCO’s success. For these reasons, Bill and Sam decided that Odoo was the best business management software to address their specific needs as a company.

Odoo has been instrumental in WOLFCO's daily operations. Bill explains that Odoo’s logical workflows and communication between applications help with the company’s typical tasks. Potential customers are listed in the Contacts application, and quotes are automatically generated out of the Sales module. WOLFCO has its database configured so that when a sales order is made, a corresponding new project is created. These automated functionalities save the company time and manpower.

Inventory was the #1 priority for WOLFCO when it was exploring ERP solutions, and Odoo’s Inventory module has proven to be satisfactory. While Bill says that on the customer-facing side, he still wants to make adjustments, he is very happy with the application’s backend performance.

For our side, [Inventory] does everything well. It does exactly what we need it to do.

As a Partner at WOLFCO, Bill particularly appreciates the insight Odoo offers him in his decision-making role. For example, Odoo helps him see the actual costs of projects compared to their estimated figures.
