Changing to Odoo
After years of growth, Orduña decided to make the leap to Odoo for several reasons. When the time came to select a new ERP, they opted directly for Odoo. Previously, they were working with a system with certain limitations, so they needed a change according to the growth they were experiencing.
The limitations came, among others, with insufficient stock control, very poor integrations when it came to integrating both core business and support processes and, mainly, the lack of centralization. Thanks to Odoo, they can now manage all areas of the company from the same database, with a centralization that offers greater efficiency.
Having it clear that they wanted to work with Odoo, the process of implementing the new system began. In this case, it was by the hand of QubiQ, this Odoo partner is Gold category, they wear this badge since 2019.
Time to Implement
The implementation was executed in two phases. The first phase consisted of the initial contact, defining processes, applications to be installed, necessary data and all the integrations that were going to be necessary. The second phase of the implementation consisted of migrating the information to the production database, which was the definitive one for the company.
Although the change was a significant improvement, there is always some risk when changing systems. In the case of Orduña, the biggest obstacle was the change for the employees, who were already trained in a tool and had to learn the new system from scratch. The change, although an improvement in efficiency, also meant modifying some existing processes.
However, thanks to the good planning, support and system training provided by the implementing partner, the changeover could be made in the best possible way. The guidance of the person responsible within Orduña for the implementation of the system, the project's SPOC, was key to ensure that the timing of the change had the least possible impact on the company's activity.
The changes brought by Odoo are quite remarkable, especially the traceability of operations as well as the centralization of data. With the Inventory application, all movements are recorded and it is much easier to manage traceability. In addition, the integrated management of pre-sales and post-sales processes now enables them to guarantee the quality of their services.
The improvements brought by the change
Of the many positive changes brought about by Odoo, Orduña highlights the system's integrative capacity. Being able to manage all processes centrally, while having all reports and data unified under the Dashboard application, is now their best tool.
In measurable data, this new system has reduced management times, for example, by having the possibility of consulting stock availability at the moment, they have accelerated the closing of operations by the commercial team. As for the technical incident team, the Helpdesk application has been decisive in reducing response times, as well as in the management of warranties and after-sales assistance.
Installing an ERP like Odoo brings the expected improvements, as in this case greater traceability, stock management, data centralization, etc. Although we also found improvements that were not initially planned, part of the implementation process is to adapt to new improvements and explore areas that were not initially planned.
Following this line, Orduña found unexpected improvements in the work environment. Thanks to the human resources modules, it was easier to manage employees, clockings and time off. Orduña highlights the availability of a calendar with all the vacations for much easier management, as well as the clocking in to comply with legality, and the possibility of creating evaluations between employees and supervisors.
It was this great combination of tools that brought both expected and unexpected successes. This is also why Orduña recommends the use of Odoo to any company willing to improve the quality of its service.
