A common request for HR officers is to know how many days off each employee has left for the year.
This is easily achievable thanks to the following reports (up to 16.4): Time off Analysis and Time off Analysis by Employee and Time Off Type.
Prerequisite: you need to have at least Officer Rights on the employee app
1. Time off Analysis
This report is available thanks to the action menu in the Employee application. You can get the report directly from the form view of or use the list view. Thanks to the filters, you can extract the employees you want to analyze. This report shows you the number of days the employee got allocated and has taken grouped by time off type filtered by time offs approved and current year. If you want to see it by employee, you can further group by Employee.
TIP: An alternative solution to this reporting is available directly from the time off application under the reporting section > by Type
TIP: You can remove, the standard filter by type first and then re-do your group by Employee > Type. This way, you get the full overview first by Employee and then for all their time off types.
2. Time off Analysis by Employee and Time Off Type
This report is available thanks to the action menu in the Employee application. It shows you a pivot table with grouped by default by company > employee filter. In the rows, the pivot table shows the employees whereas the columns display the time off type. The main difference between the “Time off Analysis” and the “Time Off Analysis by Employee and Time Off Type” is that in this report shows you also the planned ones or requests which are still not approved.
TIP: If you don't see the menu item in the action menu, updating the Time Off Module should do the job!
3. Print Time Off Summary
This PDF document can be downloaded directly from the Print action menu of the Employee Application. This report will allow you to easily share or analyze information regarding the Time Off of your employees. Think about industries where the Time Off Planning is important. You can print this specific Time Off Summary and hang it on your wall for more visibility. If you work with an external payroll provider, you could also want to share this Time Off Summary as it will show the absence of your employees.
Good to know: this report will actually print the an overview as from the date you selected + the 60 days. It's to give a short term overview. You can select the status of the time off type (approved, confirmed, or both).
