Hun vroegere ledenbeheer van Microsoft Dynamics werd gemigreerd naar Odoo. Via Odoo hebben ze een zicht op hun subsidiebeheer of grant-management, de facturatie en houden ze bij welke actie moet worden ondernomen voor hun fundraising doelen. Phileas80 – Internationale HR- en payroll-specialist kiest voor één geïntegreerd Odoo-platformPhileas80 ondersteunt internationale organisaties bij cross-border payroll- en HR-processen. Met een team van circa twaalf professionals, aangevuld met consultants in o.a. Portugal en de Filipijnen, werkte het bedrijf jarenlang met een versnipperd IT-landschap. Voor CRM, projecten, uren, HR, contractondertekening, financiële administratie en rapportages werden zes verschillende systemen gebruikt. Dit leidde tot dubbele invoer, foutgevoeligheid en gebrek aan realtime inzicht in projectmarges en klantresultaten.
Uitdaging
De belangrijkste wens van Phileas80 was om alle kernprocessen te verenigen in één platform. Uren werden bijvoorbeeld in Bitrix24 geregistreerd maar handmatig overgezet naar Exact Online voor facturatie, wat vertragingen en discussies met klanten veroorzaakte. Ook declaraties en kosten liepen via meerdere tools en werden niet altijd consistent aan projecten gekoppeld. Daarnaast was er een sterke behoefte aan betrouwbare dashboards, financiële rapportages en een professionele workflow voor offertes en contracten.
De keuze voor Odoo
Na een uitgebreide evaluatie koos Phileas80 voor Odoo om de belangrijkste systemen te vervangen:
Exact Online, Bitrix24, SignNow en Speedbooks.

Met Odoo beschikt Phileas80 nu over één geïntegreerd platform waarin projecten, uren, declaraties, contracten, klantgegevens en financiële administratie naadloos samenwerken. Dit levert:

Toekomst
In Fase 2 volgt verdere uitbouw van HR-processen.
In Fase 3 wordt LearnWorlds vervangen door Odoo eLearning, gecombineerd met website, helpdesk en internationalisering — waardoor Phileas80 volledig vanuit één Odoo-omgeving kan opereren.

In hun bakatelier wordt met passie en vakmanschap gewerkt om steeds opnieuw de hoogste kwaliteit te leveren. Maar terwijl hun koekjes perfect zijn, was hun interne werking dat niet.Het bedrijf maakte nog geen gebruik van een ERP-systeem. Offertes en facturen werden handmatig in Word en Excel gemaakt, kassasystemen waren inefficiënt en niet gekoppeld aan bancontactterminals, en stockbeheer ontbrak volledig. Ook was er geen geïntegreerde website of B2B-portaal, en liep klantenopvolging enkel via e-mail. Dit resulteerde in een gebrek aan overzicht, hoge foutmarges en tijdverlies.
