Outlaw Technology initially focused on the regulated cannabis market, where stringent state tracking requirements for plants and packages demand real-time accuracy. “We automate all those processes that ultimately they're legally responsible for. They have to enter harvest data into the state system within 24 hours,” David explains. By integrating with state systems, Outlaw ensures that client audits, inventory movement, and compliance reporting are accurate and efficient.

Brie Oaxaca, Director of Operations, adds that Outlaw’s solution is flexible enough to serve other industries: 

"We’ve built out this software system, so we really can cover end-to-end. We’re looking at taking our tool set and generalizing it for midsize companies in various industries."

The Challenges Outlaw Faced Before Odoo

Before implementing Odoo, Outlaw Technology’s operations were segmented across multiple platforms. Billing was handled in QuickBooks, CRM contact information was tracked through Clarityoft CRM, and Google Sheets were used for linking and managing data between systems. 

"We really wanted an ERP where we could get all of our data centralized in one location, give everyone access to it, and then be able to be more organized."

Other ERP solutions, like NetSuite, were considered in prior roles, but cost and flexibility were barriers. Brie explains, “We migrated from NetSuite to Odoo at a previous company based purely on cost. NetSuite just gets more expensive the longer you’re on it. Odoo was nice and modular. We could pick and choose what modules we needed.”


A Flexible Solution That Fits the Model


Outlaw Technology’s business model is unique: hardware remains company-owned and is leased to clients, while software usage is billed on a subscription basis. David emphasizes, “We’re not traditional. We’re not buy-sell. The handheld you use is really rented to you. If you stop paying us, we get it back. Odoo was the most amendable system for overlaying our business model.”

Brie highlights specific functionalities:

 CRM linking and parent/sub-company tracking:
“We can build connections under contact linking, linking individuals at the corporate level, also to individual stores.”

 Warehouse management and internal transfers: “We track outgoing hardware, drop shipments, and track it back into our system for billing.”

 Subscription management: “Managing subscriptions for multiple customers and multiple sites, and linking them back to the hardware has been extremely helpful.”

Maggie Henson adds a practical benefit: “I like the combining invoices feature. We have customers with multiple sites, and it’s easier to send one invoice broken out by line item rather than chasing multiple invoices. It’s cleaner for the client and us.”

Outlaw first explored Odoo in November of last year, starting with uploading contacts and gradually expanding. They have implemented core apps including Sales, Accounting, Billing, and CRM, which remain their most-used applications. David notes the flexibility Odoo provides: 


"It brought us a lot of just, ‘Hey, what do you want this to be? How do you want it to work?’ It checked all the boxes.”

Operational Impact: Efficiency and Accuracy

Odoo has measurably improved Outlaw Technology’s operations:

Billing and reconciliation: Maggie explains, “It’s a lot simpler to go through everything and get it all reconciled when it’s all right there. I can see who’s paid invoices and who hasn’t, all in one screen.”

Centralized data access: Brie highlights that view access can be customized for employees, “They can see accounting and billing data without access to sensitive accounts or credit card information.”

Time savings: David estimates, “Collectively, I think it’s probably saved us 50% of the time we were spending on these tasks.”

Enhanced tracking: CRM linking and warehouse apps allow for precise asset management across multiple sites and customers.

Support and customization: The team praises Odoo’s consultants for adapting the platform to their specific workflow: “They understand our business model and can configure the system quickly to meet our needs,” says David.

Overall, the implementation has enabled Outlaw Technology to scale efficiently, manage over a thousand devices, hundreds of clients, and process millions of pounds of product with improved accuracy.

Looking Ahead: Expanding Horizons


Outlaw Technology is preparing to extend its expertise to other sectors. David envisions leveraging Odoo to create new subsidiaries or white-labeled instances: “The core systems we’ve made are very amendable to other markets. I could set up a separate entity in Odoo and build it in lockstep with Outlaw.”

Brie adds that there are still untapped features to explore, such as the Helpdesk app, which could centralize support manuals, videos, and customer self-service resources. “We’re exploring how to incorporate the Helpdesk without disrupting our current ZenDesk setup,” she explains.

Maggie emphasizes that even small operational improvements have significant impact: “Odoo has made it easier to manage invoicing, subscriptions, and inventory tracking in one place, freeing up our team to focus on growth and client support.”
