Arkadia Corporate - a company with over 17 years of experience in organizing high-profile corporate events in Serbia - chose Odoo ERP to optimize and unify its complex business operations. The previous tools used for managing inventory, sales, and event planning no longer met the needs of the company, especially when it came to handling multi-department collaboration, inventory logistics, and customer relationship management.
During the preparatory stage, a number of key objectives were identified for the Odoo ERP implementation:
1. Creation of a system for complex offers with optional items and structured packages, allowing clear and dynamic client interaction.
2. Warehouse management across multiple storage locations, supporting both direct sales and temporary issuance of goods (e.g. decorations, equipment) for events.
3. Automated workflows: when an offer is accepted, Odoo automatically creates a corresponding project, task set, delivery orders for issued/sold goods, and return receipts for rented goods.
4. Project management with high task volume: implementation of the Odoo Project app enabled precise coordination of over 200 tasks per event, with access for 20+ internal users.
5. Online quote review functionality, where clients can comment directly on the offer, increasing approval speed and transparency.
6. Issuance and return flow optimization: a custom solution was developed to minimize the time between the end of an event and the return of rented goods, including auto‑generated return forms.
7. Creation of structured work orders for setting up and dismantling event decoration, including optimal packaging plans for return transport.
8. Procurement process setup using the Odoo Purchase app — including demand planning, supplier management, and purchasing automation.
9. CRM and sales pipeline management: full implementation of Odoo CRM to track sales opportunities, improve lead follow-up, and measure conversion metrics.
To fulfill these requirements, extensive configuration and custom development were carried out. The result is a deeply integrated system that connects the company’s core processes - from the first client inquiry to the final warehouse check-in - all within a single ERP platform.
