Commercial, Project Management and After Sales

One of the main pain points for Aria Technologies was managing its sales pipeline and daily tasks associated with customers. Odoo's CRM and Sales applications managed their sales process, including quoting, invoicing, and warranty management. The team used different teams responsible for different types of opportunities and worked with customers who came in through relationships, referrals, and inbound/outbound sales.


Odoo's CRM allowed Aria Technologies to activate lead generation with email aliases that triggered general leads. A responsible person would contact the customer through the chatter to schedule multiple activities such as calls and reminders. They also edited stages on the pipeline using the studio application to add custom fields with visibility attributes, and there were automated actions to move stages based on set percentages. Record rules were also set per each sales team, and the team leader would only see the pipeline opportunities for their team members pipeline.


Odoo's Project application was used to create a project for each confirmed sale order, and an approval rule was customized only to kick off the project after the manager's approval. Dependencies for each task were added, plus milestones to track progress. Each customer order created a project with different tasks for each department, and they wanted each department to be notified when tasks were ready for them to process.


Odoo's Field Service and Helpdesk applications were used to manage their after-sale warranty management, including field service, on a monthly basis with reminders to assign someone for each customer.



Financial Duties

Aria Technologies required Odoo to generate invoices once a sales order was created with the required information about sold products/services based on the company's Chart of Accounts. They also needed Odoo-generated reports, such as trial balance, PL, cash flow statements, and balance sheets, to reflect their financial situation.


Odoo's Accounting and Invoicing applications were used to set up standard accounting setup as per the Egypt localization. They also set up E-Invoicing for the customer, imported the chart of accounts, configured journals, asset models, etc.



Manufacturing Processes

In production, semifinished linear robots were stored at the warehouse and customized with end-of-arm tooling for each project; real-time component consumption was needed to ensure accurate stock and accounting entries once a manufacturing order (MO) was confirmed.


Odoo's Manufacturing, Quality, and Maintenance applications were used to manage these processes. Manufacturing orders were linked to related projects, purchases, PR approval requests, stock, product moves, and cost analysis, with overhead costs added as landed costs or through analytic account hitting. Set up quality checkpoints for receipts and the manufacturing cycle. Import BoMs and configure their type.



Procurement & Logistics

Foreign and local purchases were made based on stock levels, suppliers, and project needs. Odoo's Purchase and Inventory applications were used to manage these processes. The Engineering management team created PRs for specific materials with defined quantities and delivery dates. They needed to see inventory balances and follow an approval cycle.


Odoo's Procurement application was used to issue RFQs for needed materials without having price lists. They sent specifications and quantities to vendors for pricing through direct purchases or calls for tenders. The team also customized the RFQ report to include additional fields such as payment terms and conditions. Payment methods were bank transfers or cash; receipts may have partial deliveries.


The team also integrated their barcode scanner with all inventory operations and followed up with scheduled days and lead times. The system recognized both the Egyptian government and Aria Tech barcodes. Received items went through quality checks, and defective items were returned for replacement. Quality checks were done per order, and there were stock levels for some raw materials. The team managed transfers using a barcode they purchased.


Invoicing policies changed depending on the product type or category. Each product had a unique barcode and internal reference, and the PR requester was notified when materials were received and issued. Final semi-finished products had unique serial numbers with no variants.
