Hi everyone,

I’ve recently started exploring how AI tools—particularly ChatGPT—can be applied in real business settings. I’ve seen teams use it for marketing content, email writing, even customer support, but I’m still unsure about the best practices or possible pitfalls when it comes to actually integrating tools like this into day-to-day workflows.

I’d really appreciate your input on a few questions:

  1. What’s the best way to start using ChatGPT or similar AI tools in a business environment—especially without overwhelming teams or disrupting current processes?
  2. Are there specific use cases (e.g. marketing, HR, customer service) where you’ve seen it work especially well—or not at all?
  3. How do you measure whether it’s really adding value (e.g. time saved, better output, lower costs)?
  4. Are there any risks or common mistakes I should be aware of before proposing this to leadership?

I’m especially interested in hearing from those who have already tried using AI in a business setting—successfully or not. Any insights, lessons learned, or tips would be extremely helpful!

  1. Start with clear use cases
    Identify where AI adds real value—for example:
    • Drafting email replies in Helpdesk or CRM
    • Generating product descriptions in Inventory or eCommerce
    • Summarizing communication logs or project updates
    • Providing natural-language queries into ERP data (e.g., “Show me last month’s sales vs. target”)
  2. Use existing integration modules
    Odoo’s App Store includes modules like ChatGPT Integration that add ChatGPT chat channels within the Discuss app. You paste prompts and receive AI responses right inside Odoo.
  3. Embed AI in specific workflows
    Create functional connections where AI supports a specific action:
    • In Helpdesk: suggest draft responses based on ticket history
    • In Sales: generate quote text or product descriptions automatically
    • In Projects: summarize task progress or status updates
  4. Use middleware or automation tools
    If you need more advanced logic—like natural-language queries or order triggering—consider middleware (e.g., Zapier, MESA) that:
    • Listens to triggers in Odoo (new ticket, new order)
    • Sends data to ChatGPT
    • Processes the result and posts it back into Odoo 
  5. Ensure compliance & monitoring
    • Only send necessary data to AI to protect privacy.
    • Keep conversation logs for auditing (most integration modules store responses in the Discuss chat).
    • Optimize API usage to avoid unnecessary token consumption.
  6. Plan for future potential
    • For complex use cases (like question-answering across your database), look into RAG-based setups: fetching relevant records, embedding them, and prompting the model with context—this is a powerful patternVisible in some Odoo AI pilots
