I am a logistics company that wants to keep its clients updated with the shipping status of their parcels. I do not want to create each specific message every time a package has a status change. I have not found an efficient solution to do it. Is there an easier way todo it?

Business context:

The use of automatizations in the Inventory app to use a WhatsApp template and trigger an automatic message to the clients will allow our clients to send personalized WhatsApp messages whenever there is an update in the shipping process.This means that our customers will stay informed in real time, from dispatch through delivery, without needing to check their email or call us.

⚠️ Solution: 

Requirements:

  • Odoo 19 and later
  • Inventory multi-Step routes activated
  • Activate Text Confirmation via WhatsApp and select a template
  • Active WhatsApp account
  • Custom subscription and Studio activated

💡 This solution is targeted to be used with Studio. If you cannot use Studio, there is another forum post showing how it is possible to adress this issue.

1. Create a WhatsApp template:

​1.1. Applies to Transfer

​1.2. In the Phone Field: Select Address > Phone

​1.3. In the body, insert the desired message, while including the following variables:

​ ​a) partner_id

​ ​b) Sales Order > Order Lines > ID

​ ​c) Stock Moves > Operation Type > WhatsApp Message (this field was created with studio

​ ​d) company_id




2. Create an Automation in the Inventory app:

2.1. Set the Model to "Transfer"

2.2. Set the Trigger to "On create and edit"

2.3. Set the Trigger to "Contact is Set"

2.4. Set the Trigger to "Contact -> Phone is Set"

2.5. Set the Apply on value to "Status = Done"

2.6. Set the When updating value to "Status (Transfer)



2.5. Add an action that trigger a "Send a WhatsApp" action

2.6. Set the Usage to an "Automation Rule"

2.7. Select the WhatsApp template you previously created




3. Now let's create a sales flow to showcase our automation:


3.1. As you go by validating each of the delivery moves, take a look at the Chatter:


This message will change as you continue validating each delivery step:


And finally, when you deliver the order, you will notify the client that the order has been delivered:


By setting up this automation rule, you will be able to maintain your clients informed about the status of their shipments automatically.


💡 In the automation rule, you will be able to limit the operation type you want the trigger to activate and the status in which it is triggered.

In Odoo, you can automate shipment status notifications so you don’t have to manually message clients every time a parcel’s status changes. Each delivery order already has status stages like Waiting, Ready, and Done, and you can add custom ones such as In Transit or Delivered. By creating email templates for each status and linking them to automated actions, Odoo can send personalized updates automatically whenever a shipment’s state changes.


This setup uses Odoo’s built-in Server Actions, where you define a trigger on the stock.picking model to send the right email template as soon as the order moves to a new stage. You can include dynamic fields (like customer name or tracking link) in the templates to keep messages clear and relevant.


For more advanced needs, you can create a custom parcel tracking module that introduces its own workflow and sends automated updates by email or SMS. This ensures clients always stay informed in real time, without your team needing to send messages manually.
