Hi everyone,

I’m new to Odoo and trying to figure out the best way to set up my employees’ HR files to include their weekly 1:1 coaching sessions.

Right now, I have a coaching template in PDF format. Ideally, I’d like managers to fill it out during/after their weekly session, have the employee sign it, and then have it automatically saved in their HR file.

What’s the best way to approach this? Should I:

  • Rebuild the PDF as an editable form inside Odoo (via Studio or Employees app)?
  • Create a webform that managers complete, then route it to the employee for signature?
  • Or is there a better way to handle this with Odoo Sign/Documents integration?

Ultimately, I’m aiming for a workflow where the process is simple, signatures are captured, and the signed session record is stored automatically in the employee’s file.

Any guidance or examples of how others have set this up would be greatly appreciated!

Would utilizing the appraisal app work better? Since this is some what built out and integrated in the other apps? Maybe adding the custom form as a template? Would I be able to collect data from that form?

You want to record coaching sessions between managers and employees in Odoo and ensure that signed records are automatically stored in each employee’s HR file. There are a few ways to approach this. One option is to rebuild your PDF coaching template directly inside Odoo as a custom form (using Studio or extending the Employees app). This way, managers can fill in structured fields and then trigger Odoo Sign to collect employee signatures, with the signed document saved back into the employee’s file. The benefit is that the data is structured and searchable, but it requires more setup work.


Another option is to create a webform that managers complete after each session and then send to the employee for signature. This method is quick to implement, but the information mainly stays in PDFs and isn’t integrated deeply into the HR module.


A simpler and often recommended solution is to use Odoo Sign together with Odoo Documents. You can upload your existing PDF coaching template as a reusable Sign template, add fields for notes and signatures, and have managers complete and sign it with employees. Once signed, Odoo automatically saves the document into the HR file in Documents, tagged for the relevant employee. This solution is fast to implement, works with your existing forms, and provides a smooth workflow, though the coaching notes remain stored as PDFs rather than structured data.


Most HR teams start with the Odoo Sign and Documents method because it is easy to set up, captures signatures, and archives records automatically. Later, if you need reporting and analysis on the coaching content itself, you can rebuild the template in Odoo as a proper form for more structured data capture.
