Client Communications on Proje

I am a video production company and for example lets say I create a proposal to film an event. right now if the client accepts the proposal it automatically creates a project with our project template.


one of our first steps is to email the client confirming details we already ahve based on our phone call and then asking them about things we dont know such as where we can park and loadin gear from, whos the point of contact on the day and so forth. this email although we have a template will always be modified as i dont want to repeat the same questions we may already know.


I will likely create put our email template in odoo to send out and modify manually.


i was originally thinking we can email them from say a task so it stays within the project and easy for other team memebers to see it but then it also will add the view task button in the email which doesnt look good. so im trying to figure out how is it suppose to be in odoo for something like this


I do not have acces to odoo studio and am trying to use odoo natively. what would be the best workflow to communicate with the client? ideally im keeping as much within odoo as possible and if I am able to put within the project some how or link it for my team and for reviewing thats great.

Hi,


The best way to manage client communication in Odoo without Studio is to use the “Send Message” feature directly within the project. When a project is automatically created after a proposal is accepted, you can open the project and send an email to the client from the chatter section. This method keeps the conversation visible to your team while ensuring that the client receives a clean, professional email without the “View Task” button that appears when sending from a task.

You can also create a mail template (under Settings → Technical → Email → Templates) linked to the project model. This lets you start with a predefined email that includes your standard questions, but still allows you to modify it before sending to fit each situation. Tasks, on the other hand, should be used for internal communication only, as emails sent from tasks automatically include a task link.

If you often need to collect structured client information,like parking instructions or the on-site contact,you could also use Odoo’s Survey app or add a custom note field to your project to store those details.

Overall, the recommended flow is: once a client accepts the proposal, open the project, use “Send Message” to email them using your template, and keep all replies tracked within the project’s chatter. This workflow keeps everything centralized in Odoo, avoids unnecessary links in emails, and ensures the entire team has visibility into client communications.

Thank you so much Cybrosys,

I really appreciate your detail in your response. I have used the Send Message feature as this was my original plan but I then get an email that says view project. I have opened a ticket to try and get this behavior removed but had no luck see my screenshot in what this looks like for another sample email I did. If you have any ideas how to fix this I am extremely open to it.

Also as a note about the survey it would be great to do this as well but the biggest issue is i need pretty dynamic surveys to do this similar to google forms. Google forms I am able to prefill some of the survey out and then send to the client to fill the rest out. this is because if I have a meeting with the client and have a lot of the information that is on our checklist or survey I would normally fill out the majority of it to make it easier for them. Is there a way to match this workflow?
