A company specializing in technical services and fire protection equipment was managing its operations through disconnected systems, spreadsheets, and paper-based documents. This fragmented setup made it difficult to scale, slowed down daily workflows, and caused frequent issues with order tracking, inventory accuracy, and service coordination.
To address these challenges, we implemented Odoo as a fully integrated ERP system, tailored to unify their key business areas — sales, warehouse, service operations, and document management. The first phase focused on automating offer creation, order processing, inventory movement (WZ/PZ), and stock reservations. In the second phase, we introduced tools for the field teams, enabling them to fill out service protocols electronically, upload documentation directly from the mobile app, and plan visits through a shared calendar.
All workflows were mapped to the company's specific needs — including support for cyclical contracts, linking service reports to physical assets (e.g., gates, fire doors), attaching technical documentation to offers, and automatically generating client-ready PDFs by merging invoices and protocols.
As a result, the company now operates on a centralized system that connects all departments in real-time. Document workflows have been digitized, inventory tracking became precise and transparent, and service operations are fully traceable from request to invoicing. With Odoo, the business gained full operational control, eliminated unnecessary manual work, and is now ready to adopt future digital standards such as KSeF and mobile-first service management.
