From a “rough” past to a bright future

Joule was struggling with a tangled mess of computer systems that didn't talk to each other. All its data was scattered across different platforms, making it both hard to find and use effectively. 

It was like trying to build a nice puzzle with thousands of pieces from different boxes.

The result? A lot of wasted time, mistakes, and headaches for its employees. Plus, it was hard for management to see what was going on in the business, which made it tough to make good real time decisions. They needed a way to bring everything together.

Structured implementation for a better “whole”

The implementation of Odoo at Joule was a structured process aimed at ensuring a rolling transition and maximising the Return On Investment (ROI). The journey began with a kick-off meeting, followed by a series of workshops with key users to understand Joule’s current (AS-IS) and desired (TO-BE) states of operations. This approach ensured alignment between the implementation team and the bike leasing company’s needs.


A critical component of the process was the ROI analysis, focusing on validating Odoo's relevance for Joule's business. This phase involved identifying and controlling risks, clarifying the project scope, initiating change management, and estimating the budget and timeline. The workshops were tailored to dissect and understand each aspect of Joule's operations, mapping out how Odoo's standard features could meet their needs, thereby reducing the need for custom development.


Monthly Steering Committee (SteerCo) meetings were set up to address resource challenges and ensure the project stayed on track. These meetings facilitated quick problem-solving, regular resource reviews, and maintained stakeholder engagement and collaboration.


 Implementing Odoo enabled Joule to consolidate disparate systems into a single, integrated platform, addressing the initial operational challenges effectively:


  • Eliminating data silos: the integration of various business functions into Odoo eliminated data silos, improving data accessibility and workflow efficiency.
  • Increasing efficiency and reducing errors: automation of routine tasks reduced time consumption and minimised errors, leading to more accurate documents and reports.
  • Enhancing real-time visibility: Odoo provided real-time insights into business operations, enabling better decision-making and increased agility.
  • Supporting scalability: the integrated system supported Joule's growth without the need for significant additional manual effort or IT investment.
  • Improving customer and stakeholder intimacy: the introduction of a client portal integrated with Odoo brought Joule closer to its customers, enhancing transparency and engagement.
  • Simplifying workflow management: coordinating tasks and workflows across departments became more streamlined and consistent.
