Please note that you NEVER need to pay yourself. All costs will be invoiced to Odoo directly.
Maintenance
Each driver is autonomous in the management of his car.
So, the driver will organize the maintenance of the car each time the car requests it and to make the necessary followup in case of problem with the car.
The list of all garages working with Odoo is available here. It’s requested that you refer to this list ONLY and do not go anywhere else.
If you chose the pickup option, don’t forget to drop your keys in the “key box” you will find at the welcome desk either in Farm 1, Farm 2 and LLN (LLN2).
All employees from Antwerp’s office can go to LLN’s Office if their car needs to be picked up by a garage.
Periodic inspection (ContrĂ´le technique)
In Belgium, starting from the age of 4, each car needs to take a specific inspection each year in an independent organization which determines if the car is safe to drive.
This inspection called in French “Contrôle Technique” is mandatory and is done each year at the anniversary date of the car. It can be subject to a fine if it's not done in time. So it’s really important for the car to take it before the given date.
At Odoo, many cars are concerned by this inspection, you will be notified from the Fleet team when it’s time for your car to take it. We will set a date for the inspection together. On the inspection date, please make sure your car is cleaned as it might be a refusal reason. Odoo's car preparer will take your car in the morning for inspection and return it before the end of the day. There's nothing more for you to do!
Please be present on the agreed date. Any missed meeting or reschedule less than 24 hours before the appointment, implies a 34€ fee for Odoo.
At the second missed meeting, Odoo will invoice you this amount.
Please make sure your car doesn't require any maintenance when going to the periodic inspection, as this might cause a refusal. Maintenance needs to be handled well on time when requested by the car.
AdBlue
Adblue is an additive to the fuel and is at the charge of the driver. As soon as the warning appears, it’s important that you refill with Adblue. Don’t take into account the message saying that you still have xx km, please make sure to refill right away.
Windshield washer fluid
Odoo organizes 2 holiday checks per year (summer/winter) during which we will replenish fluid levels. Outside of these checks, employees are expected to manage and replenish windshield washer fluid in their vehicles as needed at their own expense. This simple maintenance task is essential for ensuring a good visibility and safe driving conditions. By taking personal responsibility for this, Odooers contribute to everyone's safety by avoiding potential hazards caused by dirty or obstructed windshields. Drive safe!
Tires
At Odoo, all the cars are equipped with all-season tires all year round. They are replaced when worn out.
If you want to go skiing, the 4 seasons tires are considered as winter tires. However, you might need some snow chains. Odoo does not provide it, and doesn't have any tips for you to get some. You can always contact our garages for help.
If during a maintenance service, the garage considers that the tires need to be replaced, they will let you know. You can then contact the tire service. (see below)

Mobile intervention at the office
If you have a flat tire at the office, or if you have to regularly reinflate your tire, or if you see that your tires are used and need to be replaced, you can ask our Mobile provider Auto Mobile Service to come, and he will repair and change your tires directly at the office.
