APsystems is a leading manufacturer of renewable energy semiconductors. They specialize in creating and marketing state-of-the-art solar microinverter solutions and communication units. Their innovative product offerings, including online monitoring devices and software for both residential and commercial markets, have established them as a major player in the global solar photovoltaic industry. With headquarters in China and offices across Europe, Australia, and the Americas, APsystems has made remarkable strides since its inception in the US in 2010. To date, they have sold millions of units, producing over 3 TWh of renewable energy, and continue to lead the solar module-level power electronics segment. Despite their impressive growth, APsystems faced significant operational challenges.

The absence of an integrated order management system hindered their ability to streamline logistics and order management processes. With six geographically dispersed business units, each operating with its own specific processes, the need for unification and automation became increasingly apparent. APsystems aimed to set clearer SLAs, KPIs, and goals, enhance visibility and transparency, align workflows, and improve interdepartmental communication. To achieve these objectives, a comprehensive business process management system was essential, and APsystems chose Itransition to deliver the project

 Choosing the right solution

Upon conducting a comprehensive analysis of APsystems' requirements, Itransition suggested the implementation of an Odoo-based solution. This recommendation was based on Odoo's strong out-of-the-box features, which enable automation and coordination across business units. Additionally, Odoo's flexibility permits extensive customization, ensuring that it can fulfil the unique needs of APsystems while adhering to budget and implementation timelines.

The implementation process started with a thorough requirements analysis carried out by Itransition. Critical requirements included real-time data exchange between business units, strong report generation, strict data security, and quick implementation. After this analysis, Itransition proceeded to set up different Odoo modules customized to APsystems' requirements.

Core modules implemented

  1. Sales Module: This module is crucial for managing product catalogs, price lists, invoice generation, and online order signatures. The delivery method feature was set up to automate shipping cost calculations, while a credit management feature was introduced to restrict sales and stock transfers based on client credit limits.
  2. Master Sales Plan Module: This module, provided by Osis, enables comprehensive sales planning. Sales managers can plan by product, study supply via dashboards, and generate Excel-based sales forecasts, aiding in business development planning and forecasting.
  3. Product Warranty Management Module: Developed by Axis Technolabs, this module tracks warranty periods and processes claims. Itransition customized it to handle paid warranty prolongation, connecting it with the manufacturing facility's product management system via API for real-time warranty data.
  4. Purchasing Module: This module ensures managing all APsystem’s purchasing and other expenses such as rent, communal payments, and other business costs. Itransition set up an automated process of generating intercompany transactions for purchase orders so that the headquarters could get all the purchasing information.
  5. HelpDesk Module: Customized to include dropdown fields for specific device numbers, this module streamlines the processing of warranty and replacement requests by providing all necessary product information upfront.
  6. Accounting Module: Transitioning from Exact, Odoo's accounting features were configured to ensure data continuity. Financial data since 2014 was migrated, and a financial reports module was added to facilitate profit and loss reports, balance sheets, and cash flow statements.
  7. Inventory Module: This module tracks order packaging, shipping dates, regular inventory counts, and manages stock information, enhancing warehouse management.

To ensure a smooth transition, Itransition provided 10 comprehensive training sessions, completed with feature demonstrations, recorded demos, and written user guides. Continuous ad-hoc support was also available to address any emerging questions or issues.

Seamless integration and unification 

The Odoo-based BPM solution tailored for APsystems effectively unified distribution and manufacturing data, facilitating communication across all business units. This integration has brought a higher degree of unification to APsystems' operations and resource planning, ultimately accelerating business development.

Ultimately, the most significant change brought about by the Odoo solution is the unification of business processes, the alignment of global business units, and the fostering of accelerated development. Although measurable improvements are still forthcoming, the enhanced coordination and eased processes set a strong foundation for future growth.
