Besomi Electronics Group is a leading supplier of engineering spare parts in the Middle East and Africa region. With over 22 years of experience in the field, Besomi Electronics has served its clients in different sectors such as oil and gas, industrial, education, communication, and governmental sectors. The company has faced multiple failed implementations with local and international ERP solutions in the past, which have caused various pain points for their business operations. To overcome these challenges, Besomi Electronics partnered with Odoo to implement various applications such as Sales Workflow, Store and Inventory Management, Project Management, and Human Resource Management Workflow, to streamline their business processes.



Sell More

Besomi Electronics had a local software solution from Egypt that was very limited and did not allow for their complex operations. For instance, the company needed to be able to track the status of their quotations and orders, and to have visibility into their customers' purchase history. They also needed to create customized quotation templates and bundles that could be sold together as a single entity. To overcome these challenges, Odoo implemented several applications including CRM, Sales, Invoicing, and Accounting.


The CRM application allows the sales team and admin to organize client information, manage quotations, and create sales pipelines. The sales team can liaise with the customers and present quotations to them, while the admin can create quotations and finalize sales with the customers. Once the quotation and sale order are confirmed, a pro forma invoice is sent to the customer. Depending on the type of customer, the payment terms might change. The accounting department is responsible for aged receivables and payables; VAT reporting is also required. The ability to customize quotation templates and create bundled products has allowed Besomi Electronics to streamline their sales process and provide better service to their customers.



Stock up and Deliver

Besomi Electronics has multiple warehouses and thousands of regular SKUs. They needed a system to manage their inventory and to keep track of the stock levels. With their previous local software solution, they faced discrepancies in their inventory, and management was unsure what was available and what was not. To overcome these challenges, Odoo implemented several applications such as Purchase, Inventory, and Point of Sale.


With the Purchase application, the procurement department can handle all purchases for projects and orders. Purchases are mainly done from known vendors and their certified partners, but sometimes the company gets new requests requiring the procurement team to send RFQs and source the item. The Inventory application allows Besomi Electronics to create a dummy barcode or product when an order is made for an item that is new or has not been introduced to the company before. The Point of Sale application is used for the showroom location, which sometimes processes sales to direct customers if they have the items available in stock. The ability to track their inventory levels and visibility into stock movements has allowed Besomi Electronics to improve their operations and provide better service to their customers.

Managing Projects

Besomi Electronics manages university projects that must be assembled and prepared by the in-house engineers who create these projects and add tasks to each project. The company needed a project management system that can measure efficiency. With their previous system, they faced issues with project delays and poor task allocation. To overcome these challenges, Odoo implemented Project and Timesheets applications.


With the Project application, engineers can add tasks to each project and are responsible for assembling these projects for students and major companies. Each project is approved based on the ability of the engineers to assemble it. Projects go through a design stage, material acquiring phase, an assembly phase, and a testing phase. The Timesheets application is used to track the time spent on each task and improve the engineers' efficiency. With the ability to track the time spent on each task and to have visibility into project progress, Besomi Electronics has been able to improve their project management and provide better service to their customers.

Besomi's Greatest Asset

Besomi Electronics needed a solution to manage their employee's payroll and time off and ensure that management can track their employee's HR and manage it tightly. With their previous system, they faced issues with payroll processing delays and difficulty in tracking employee leaves. To overcome these challenges, Odoo implemented Time Off and Payroll applications.


With the Time Off application, employees can apply and get their leaves approved by their managers. Managers can view and approve or reject leave requests, and employees can view their leave balance and history. The Payroll application is used for localized UAE payroll configuration required, and Gratuity and end of service is calculated on an accrued basis. The accounting department is responsible for payroll payments and ensuring all work entries are cleared out to process the payroll regularly. The ability to track employee time off and manage payroll more efficiently has allowed Besomi Electronics to improve their HR management and provide better service to their employees.


Results

Odoo's implementation of Sales Workflow, Store and Inventory Management, Project Management, and Human Resource Management Workflow applications have enabled Besomi Electronics to streamline their business processes and overcome their pain points.
