
Hydraloop is a Dutch company founded in 2015 with a clear ambition: reducing water waste in homes, businesses and communities. Innovative solutions have been designed to recycle water and reuse it for other purposes. Using disparate tools to handle sales, customer relationships, projects and administration, the company was looking for an all-in-one, centralized, integrated system to manage all operations and keep up with its growth.
Scattered data and workflows, split into many management tools
Based in the Netherlands, and with partners in about 50 different countries, Hydraloop provides solutions that help individuals, companies, and communities avoid wasting water. This innovative concept aims to recycle domestic water for another use, such as toilets or washing machines for example. The ultimate goal is to make a difference by reducing the environmental impact and contributing to a healthier planet. Hydraloop has a clear vision of making water recycling a standard in homes and businesses around the world.
In order to manage its daily operations, Hydraloop was using several tools, such as PandaDoc to handle sales’ administration, Pipedrive to manage customer relationships and Airtable to deal with their data. The lack of integration between all workflows was creating a fragmented and inefficient environment, with data scattered across tools and departments, which was making it difficult to have a clear, up-to-date overview of the business.
Setting up an in-house manufacturing facility required addressing those challenges, by transitioning towards a centralized, integrated solution providing automation features and allowing for more efficiency.
Choosing Odoo as the new fully integrated management software
Looking for a new all-in-one management system, Hydraloop compared several solutions like Rockwell Automation, Tulip, Ridder, SAP and Odoo in order to have a good benchmark to evaluate functionalities and user experience. The company finally chose to work with Odoo for clear reasons:
Short implementation time: No need to be an expert with many technical skills, Odoo’s solution can be configured easily and up and running in no time.
Attractive price: Odoo offers a pretty good price-quality ratio, which was attractive for a young innovative company.
Intuitive interface: Setting up processes efficiently is made possible by the user-friendly interface, that is also easy to adapt to the specific needs of the business.
Flexibility and scalability: Odoo provides flexibility and the ability to scale the platform according to evolving needs. The integrated nature of the modules also made it a more attractive solution compared to other more rigid or highly specialized alternatives.

Hydraloop’s rollout strategy to implement Odoo
To implement Odoo’s software, Hydraloop chose a module-by-module timeline to ensure gradual adoption of the system and proper testing at each stage.
Having started the implementation in the summer of 2023, the first modules, CRM and Sales, went live in November that same year after a focused setup period and internal training. In January 2024, the Accounting application followed, which required additional preparation to align with financial reporting standards. And finally, Manufacturing, Purchase and Warehouse went live after some internal restructuring to make the most of Odoo’s workflows.

Scalability and efficiency at the core of Hydraloop’s operations
Odoo helped Hydraloop overcome key challenges by integrating all of the company’s workflows into one central platform:
Centralization: Centralizing data offers real-time visibility into business operations, enabling better, smarter and faster decision-making. Every document, communication, and action related to a sale is now centralized, which enhances transparency across departments.
Efficiency: Processes are more efficient and quicker, with fewer manual errors and duplicate efforts. Simultaneously, using this new management system provides a great support for production, giving more control over quality and deliveries. Today, workflows are streamlined and enhanced, preparing Hydraloop for further growth.
Time savings: Significant time savings are noticed in the sales flows, as Sales and CRM modules are linked and significantly reduce manual follow-ups. On the other hand, an improvement also appeared on the flow from sale to production to delivery, implying fewer delays and fewer administrative errors.

The next step for Hydraloop is to further optimize and scale up operations. The company aims to keep automating more tasks and integrating more workflows within several fields such as logistics, inventory and manufacturing. Additionally, the application eCommerce will be implemented and integrated smoothly into the strong foundations already established. Finally, Hydraloop has the goal of expanding the business internationally and relies on Odoo to benefit from scalability and efficiency.
