I am hoping for a suggestion with this. We are discontinuing Odoo.  We are currently on Odoo 14EE and will be discontinuing it.   Migrating the accounting data to quickbooks doesn't seem to be an option. I've been told migrating to community won't work either.  

Question:

Is there a way to keep a 1 user version of Odoo14EE for the sake of a archive? In case we need to run a report or check something for taxes?  We obviously don't want to pay for another subscription.

If you are on-premise, you can keep Odoo installed forever with no live databases.  Then, if needed, you can restore your legacy Odooe14 database and the 30-day timer will begin.  But this is a very bad idea because eventually, your system won't be available.  This works great with virtual machines as well - but again, eventually they won't work just because they get obsoleted.

Far better is for you to do your full year-end, close all of your books, ensure everything is finished and then export it all to .csv.  You should also do all year-end procedures and reporting so you have a full record of "everything".

Your entire accounting history is in your GL so having it as a .csv gives you everything you'll need in an emergency.

But your best option is to ensure that your year-end is done perfectly and then begin on your new accounting system.

Remember, you never "migrate" an accounting system; you close your books correctly and then open new books in your new system using the year-end totals.  History then becomes a matter of searching your year-end reports and .csv files.

From your Accounting menu (Reporting), choose the report that you want to see, we'll choose General Ledger. Once you pull any report, there is a big green button at the top of the report that says "EXPORT (XLSX)". Or, you can use the "SAVE" button to generate a .pdf instead.

By default it will probably show you the current month only, but you can change the date range to anything you want. For a year-end, you would choose "This Financial Year". This also gives you the numbers your accountant needs to open your new books.

You should pull EVERY financial report this way at every year end - it should be part of your year-end/period-end process.

For a full close-out of Odoo, I would do this for every report and set the date range using the "Custom" option to pull everything from the first day I used Odoo to the last. This gives you a full record of everything you ever did in Odoo accounting. In theory, you could use this to completely reenter all data into your new accounting system (but you wouldn't).

In total, the entire process might take you five minutes and then you have a full record for your accountant.
