Tender Workflow

Features

Create a new tender.

import BOM from excel (CSV)

Publish tenders on the front end.

Specify start date / deadline.

Allow vendors to login to the front end and place bids.

Divide BOM into material, Labor and Overhead.

Know the top vendor at any time during the tender.

See all bids and ranks from the backend.

Approve all tenders before publishing on the website.

Compare all tenders from all vendors.

The workflow:

Create a new tender, specify who is responsible for it, when it starts and when it finishes?

Click on Export template if you would like to use our CSV import functionality, else you can specify the lines manually under material, labor and overhead. Open excel template and fill the BOM lines like this:

Use M, L, and O for material, labor and overhead respectively. The system will automatically pick up the product / service based on any input, if product code is missed then the system will use product name to pick up the product. Note: Products / services must be created first in the system or else the system will throw an error.

Import your BOM:

after you selected what to import in your BOM, click on the import BOM and select the file

Look at the imported BOM:

Approve the tender:

go back to the tender to submit and then approve it:

After approval status is changed to in progress

Publish on the website:

Click on publish on website box to publish your tender on the website and allow vendors to see it after they login.

Bidding:

Now that the tender is in progress and is actually published on the website, vendors can see it after logging in to your website:

Click on Villa Project that we just created:

We are now logged in as a vendor called Brandon, lets fill in the form and submit our price, we can also export the excel template to be used to fill prices.

After submitting the form, vendor can immediately see his Ranking compared to others:

Vendor can see the bids he placed with complete history:

Place Another Bid from a new vendor, this time lets use excel format, click on the excel icon:

Clicking on the excel icon will download an import CSV file for you to use, it will automatically contain all BOM lines:

After you fill up prices under the “your price” column, you can now upload to the system using another vendor:

After uploading CSV file:

As you notice: the rank is number 2 because I have not submitted the best price. Let’s go to the backed and see the view:

Click on the Rank box to see all ranks:

You can now see the top rank highlighted in bold. now click on the Bids box so you can see all the bids from all vendors:

Communicate with procurement managers: Vendors can chat and discuss with the admin / procurement managers from the front end and notes will show on the back end

Vendors can know the last price they submitted when they place a new bid:

Vendors can see their rankings on the website:

They can also see all of the bids they placed on all tenders:

Click on the products menu to view / add new products:

Reporting: We developed a report that gives you a comprehensive view of all aspects of a tender, from the reprting menu, select “report by tender”

Select the tender you need, else select all tenders:

From the tender itself, you can select print ->tender analysis to get this report:
